Add Team Member, Send Invitations, Bulk Invite and SSO Provisioning

Invite teammates by email, bulk-import a CSV of up to 500 users, or auto-provision via SSO/SCIM. Invitations expire after 7 days by default and can be revoked at any time.

Single invitation flow

Settings > Team > Invite. Email, role, optional project scope. Invitee gets a one-click join link.

  • Enter email, pick role (Owner cannot invite a second Owner)
  • Optional: restrict to specific projects (multi-select)
  • Optional: set an expiry date (default 7 days from sending)
  • Optional: add a custom welcome message

Bulk invitation via CSV

Upload a CSV with columns: email, role, projects (optional, comma-separated slugs). Up to 500 rows per upload.

  • Template CSV downloadable from the Invite modal
  • Workexe validates each row before sending (highlights errors)
  • Duplicate emails skipped automatically
  • All invitations sent in a single transaction (all-or-nothing)

SSO and SCIM auto-provisioning

On Enterprise, connect Okta, Azure AD or any SAML 2.0 IdP. Users are created and assigned roles based on IdP groups.

  • SAML 2.0 SSO via standard IdP-initiated flow
  • SCIM 2.0 for automated provisioning and deprovisioning
  • Group-to-role mapping (e.g. SEO_Editors group -> Editor role)
  • Just-in-time (JIT) provisioning on first login

Managing pending invitations

Pending invites appear in Settings > Team > Pending. Resend, change role, extend expiry or revoke at any time.

  • Resend if the invite email was missed
  • Change role before acceptance without sending a new invite
  • Extend expiry by 7, 14 or 30 days
  • Revoke invalidates the link immediately

Common acceptance issues

If a teammate cannot accept, these are the usual causes.

  • Invite expired, resend from Pending list
  • Invitee already has a Workexe account with a different email, send to that email instead
  • Email landed in spam, check the workexe-noreply sender domain
  • Corporate firewall blocks the join link, share via signed Slack message

Frequently Asked Questions

What if I exceed my plan's seat limit?
Workexe blocks the invite and shows the upgrade path. Existing members keep access while you decide.
Can invitees pick their own role?
No. Role is set by the inviter. The invitee can request a change after joining.
Are invitations counted toward seat limits before acceptance?
No. Only accepted invitations consume seats. Pending invites are free.
How do I revoke access for someone who left the company?
Settings > Team > Members > Remove. Their sessions are killed within 5 minutes.
